- To coordinate, prepare and compile bid submission documents in relation to tendering/bidding activities, tender questionnaires and pre-qualifications;
- To organize and harness the efforts of all involved departments relating to tendering/bidding activities and contract review;
- To coordinate customer’s bid requirements within the various departments such as planning, QA/QC, Engineering, Production, etc., collate and compile all queries and requests for additional information for communication to customers.
- To vet through incoming tenders and to note down tender due date, project start and end date, tender submission instructions/requirement and mode of submission;
- To collate tender information and references from various sources such as online search engines, industry and market intelligence data etc., which are needed for submission;
- To monitor and ensure that tender submission due dates are strictly adhered to, including the checking, bidding, packing and preparation of outgoing submissions;
- To ensure that tender submissions are standardized in terms of format, font, logo, etc. and in line with customer’s tender requirements.
- Preparation and submission of E-Tenders in GeM,
- Prepare and submit the pre-qualification package, bids and tenders within the given timeframe.
- Compile and maintain the tender working files, brochures, write-up and related correspondence documents in timely manner to ensure up-to-date record of the tender information for effective tendering / bids.
- Analyses and review the tender / contract requirements, obligations, provisions, terms and conditions to ensure the compliance of the business to the relevant laws, regulations, corporate policies and business units’ procedures at all times.
- Assemble and maintain documentation relating to the tendering process, including management approval relating to tendering and contracting
- Monitor the expiry of tender / contract in order to alert the business unit to confront the client promptly in ensuring the sustainability of the business tenders.
- Registration on e-portals and uploading tenders on the respective Tender sites
- Work closely with the management in drafting, reviewing and negotiating commercially viable tenders and contracts.
- Analysis and Comparison of Competitor quotation pricing strategy.
- Perform any other responsibilities as assigned by the reporting manager.
