Project Coordinator

Job Summary:
We are hiring for a Project Coordinator job in Vasai East, Sativali Road. Candidate should have a minimum of 2 years’ experience, gender will be Male & age not more than 40 years, and have Qualification Mechanical Engineer. This vacancy is for the Service industry.

Important note - For this job, the candidate must have experience in the fire safety solutions and services industry.

Job Responsibilities:
Documentation & Project Setup
1.Create and maintain client-wise project folders on Google Drive/server for all important project documents.
2.Ensure all required signed documents (e.g., Delivery Challans/DCs) are received from site and handed over to the Purchase team.
3.Maintain accurate documentation records for easy stakeholder access.

Meetings & Communication
1.Arrange Contractor Kick-Off meetings by coordinating schedules and logistics (does not attend the meeting).
2.Ensure the contractor’s Code of Conduct is signed before work begins.
3.Distribute action points from meetings to the Project WhatsApp group within 24 hours (based on received notes).

Material Coordination
1.Ensure all materials, as per job card, reach the project site.
2.Coordinate material movement from TFPC godown to the site as required.
3.Update the material delivery tracker for all received materials.

Billing & Invoicing Support
1.Request Accounts to raise Supply Invoices to clients once material supply is completed.
2.Follow up with Accounts to ensure invoices are raised in a timely manner.
3.Trigger and coordinate with Accounts for raising invoices as needed.

Financial Tracking
1.Monitor retention amounts and notify Accounts to send request letters to clients for releasing balance payments.
2.Maintain records of projected billing vs actual billing.
3.Submit monthly billing reports to Management.

Expense Tracking
1.Track project-wise expenses and ensure accurate recording.

Vendor Payment Support
1.Check Delivery Challans (DCs) against Purchase Orders (POs).
2.Forward verified DCs and related documents to the Purchase team for vendor payment processing.
